Why it works: for a review that may be fake, it stays calm, quietly notes the lack of a record for future readers, and admits nothing. It reads as a reasonable business and care, which is who you are arguing to, not the reviewer.

What not to say in a public reply.

A review response is on the record forever, and a few common mistakes can turn a bad review into a real problem. The tool steers around these, but they are worth knowing whether you use it or not.

Do not confirm they were a customer

Especially in healthcare, law, or anything sensitive. Acknowledging that a named person was your patient or client can breach confidentiality on its own. 

Instead: respond without confirming the relationship.

Do not concede legal fault or cause

Owning a bad experience is good, and you should. What to avoid is language that assigns legal blame or admits your action caused a specific harm, like “our mistake caused your injury.” 

Instead: validate what they felt and take responsibility for the experience, without diagnosing who is liable.

Do not share private details

Do not post their account number, what they bought, their medical situation, or anything they did not make public themselves. 

Instead: move specifics to a private channel.

Every future customer is reading how you handle criticism, not who won. Winning the argument loses the room. 

Instead: stay calm and offer a path forward.

Do not offer money to remove a review

Paying for takedowns or trading a refund for a deleted review violates most platform policies and can get your profile flagged.

Identical responses on every review read as automated and can look worse than no reply at all.

Should I respond to positive reviews too?

Yes, and many businesses miss this. Replying to positive reviews signals you are paying attention, encourages more of them, and gives you another natural place to sound like a real business. It does not have to be long. It just has to be more than “Thanks!” on all of them.

How should I handle a review I think is fake?

Stay calm, and reply for the people reading it later, not for the reviewer. Note plainly that you have no record matching the review, without accusing anyone, and offer a real way to get in touch. Then report it to the platform through their process. Do not get into a public fight, it makes you look worse than the review does.

Can I get a bad review removed?

Sometimes, but only if it violates the platform’s policies, things like spam, a competitor review, or a personal attack. You cannot get a review removed just for being negative or unfair. Flag it through the platform, and in the meantime a calm public reply does more for you than the removal would.

How long should a response be?

Short enough to read at a glance, long enough to feel like a person wrote it. Two or three sentences handles almost everything. Long replies to negative reviews tend to read as defensive, and the reader is skimming anyway.

Do review responses help my ranking?

Indirectly. Google has said responding to reviews is good practice, and active, well managed profiles tend to perform better in local search. We’ve found that active profiles and being present in review management has had a significant impact on performance. More directly, replies affect whether the person reading them chooses you, which is the part that actually pays off.
